A new BOS user logging in for the first time.
You have been invited to a PLANA workspace. This page walks you through your first sign-in, what to expect on the screen, and what to do in the first ten minutes.
Step 1 — Open the workspace URL
Your workspace lives at:
https://my.planapulse.ai/<workspace-slug>For example, if your company's workspace is acme, the URL is https://my.planapulse.ai/acme. Your invitation email contains the exact URL.
If you do not yet know the slug, open https://my.planapulse.ai and sign in — the dashboard lists every workspace your account has access to.
Step 2 — Sign in with PLANA SSO
You will see a Sign in screen with three options:

| Sign in with PLANA (default) | You have a PLANA account and a password |
| Sign in with Google | Your Google account is linked to PLANA |
| Use an SSO recovery code | You lost access to your authenticator app |
Pick Sign in with PLANA. Enter your work email and the temporary password from your invitation.
If your workspace administrator has enabled two-factor authentication, you will be prompted to set up TOTP after entering your password. See Two-factor (TOTP) setup below.
Step 3 — Two-factor (TOTP) setup
If 2FA is required, BOS asks you to scan a QR code with an authenticator app:
- Install an authenticator app on your phone — Authy, Google Authenticator, 1Password, Bitwarden, or any other TOTP-compatible app
- Open the app and scan the QR code shown on screen
- Enter the 6-digit code the app displays
- Save the recovery codes that appear next. Print them, store them in a password manager, keep them somewhere you can find them if you lose your phone
Once you have set up TOTP, every future sign-in asks for both your password (or SSO) and the current 6-digit code.

Step 4 — Land on your dashboard
After sign-in you are on the Dashboard view. The first time you arrive, BOS may show a seeded demo conversation in the chat panel so you can see what BOS feels like. Close the demo and you are looking at your real workspace data.
The Dashboard shows:
- KPIs — revenue this month, cash position, gross margin, top open alerts. The exact set depends on your edition.
- Cashflow chart — daily cash balance for the last 30 days
- Alert summary — number of open alerts by severity
- Quick links — shortcuts to common Odoo screens (Invoicing, Customers, Stock)
Click any KPI tile for details. Click any alert to open the Alerts view.
Step 5 — Start a conversation with an agent
In the left sidebar, click Chat to open the agent panel. Pick an agent from the tabs at the top:
- Finance — accounting, cash, invoices, reconciliation
- Warehouse — stock, reorder points, slow movers
- Marketing — pipeline, leads, campaign performance
- Sales — pipeline value, deal velocity, top customers
Type a question in plain language — "What was our revenue this month?" or "Which products will run out next week?". The agent will fetch real data from your tenant and answer. You can see what data it pulled in the Execution log view.
Step 6 — Explore the other views
The left sidebar holds the seven other views:

| Banking | Bank account balances and transactions via PSD2 |
| Billing | Your PLANA subscription plan and recent invoices |
| Execution log | Every agent tool call with arguments + result + timing |
| Integrations | Connected systems (Payhawk, banks, OCR, etc.) |
| Settings | Workspace settings, team, alert thresholds, API keys |
Open each one once to see what is there. Most users settle on a routine of Dashboard + Chat + Alerts for daily work and dip into the others as needed.
Step 7 — Set your preferences
Click your avatar in the top right → Settings → Workspace to set:
- Time zone — when daily KPIs reset
- Language — English
- Currency — defaults to your accounting currency
- Alert thresholds — when alerts fire (overdue invoices > X days, cash below Y, etc.)
These settings apply to your view of the workspace. Team-wide settings are in the Workspace tab — only workspace administrators can edit them.
Common first-time questions
"I don't see my data — only zeros"
Check that your workspace's underlying tenant Odoo has data. BOS reads from PLANA Business Cloud in real time — empty Dashboards usually mean empty Odoo. The Quick links in the Dashboard take you straight to the relevant Odoo screens.
"The chat said it could not find data — is that a bug?"
Sometimes. If you ask a Finance question on a brand-new tenant that has no posted invoices, the answer "no data found" is correct. If the data is clearly there, double-check the date range you implied in the question — agents respect time windows.
"Which agent should I ask about X?"
Pick the agent that owns the data. Cashflow → Finance. Stockouts → Warehouse. Pipeline → Sales or Marketing. There is no penalty for asking the wrong agent — it will tell you to switch — but the right agent gets a faster answer.
"Two-factor — what if I lose my phone?"
You have three options:
- Use a recovery code (single-use, stored at TOTP setup)
- Ask your workspace administrator to reset your 2FA from Odoo's Settings → Users
- Contact PLANA via the workspace's Matrix support room — a PLANA engineer can disable your 2FA after verifying your identity
Always save the recovery codes at setup time — they make the recovery single-click.
