Morning check-in
Audience
Anyone who opens BOS at the start of the day.
A five-minute routine that surfaces every issue that needs attention today. Most BOS users settle on a variant of this.
The routine
1. Open the Dashboard (10s)
Glance at the four KPI tiles:
- Revenue MTD — on track for the month?
- Cash position — is the trend healthy?
- Open alerts — anything red?
- Gross margin — within normal range?
If everything is green, you're done in 10 seconds. Skip to step 5.
2. Triage open alerts (1–3 min)
Click Alerts in the left sidebar. The list is sorted by severity (Critical → Warning → Info), then by age.
For each Critical / Warning alert:
| Action | When |
|---|---|
| Acknowledge | You've seen it, plan to act later today |
| Resolve | You took action; the alert is no longer relevant |
| Snooze | Postpone for N hours (re-fires after) |
| Reassign | This one's for someone else |
Click an alert to see the detail — the underlying record, the suggested next step, links to the relevant PLANA Business Cloud screen.
3. Ask the Finance agent for the cash picture (1 min)
Open Chat → Finance tab. Type:
What changed in cash position since yesterday? The agent fetches yesterday's and today's cash balances across all journals, identifies the deltas, and explains the major moves.
Useful follow-ups:
- "Which customers paid?"
- "Which suppliers got paid?"
- "Anything unusual?"
4. Ask the Warehouse agent for stock health (1 min)
Switch to the Warehouse tab:
What's below reorder right now?The agent returns the products at or below reorder point with suggested lead times. Forward critical out-of-stock items to whoever buys.
5. Glance at the Banking feed (30s)
Click Banking. Look at:
- Today's new transactions (overnight settlements appear here first)
- Anything unreconciled that's been sitting > 7 days
- Bank connection health (any consents expiring soon?)
If you spot a transaction that doesn't match any open invoice, flag it for the bookkeeper.
6. Close out the routine
Optional but recommended:
- Pin the period to the current month if it's the first of the month
- Acknowledge any informational alerts you've seen
- Move on to your day
Variations by role
Operations / general manager
Add to the routine:
- Sales agent: "Pipeline value today? Anything moved overnight?"
- Marketing agent: "Top inbound lead source this week?"
Accountant
- Finance agent: "Which transactions are unreconciled?"
- Open the Banking view in detail; reconcile what you can
Sales lead
- Sales agent: "Pipeline by stage." → "Deals stuck?"
- Triage stuck deals: who needs a call, who needs a price tweak
Warehouse manager
- Warehouse agent: "What's below reorder? Pending receipts?"
- Quick scan of the pickings list in PLANA Business Cloud
What to escalate
Anything Critical with no obvious owner — page the workspace owner via the Matrix support room. The dashboard alerts feed surfaces these but the human follow-up matters.
What to skip
If the dashboard is green and the alerts list is empty, you do not need to ask the agents for status. They are most useful when there's something to investigate.
Pacing
A confident BOS user runs this routine in 3–5 minutes. The first few weeks take longer because you're learning where things live. After that, it becomes a glance + targeted chat.
