Activities and reminders

PLANA Business Cloud's Activities are how you stay on top of work across many records. Instead of a separate task system, every record (invoice, sale order, customer, project task) can carry its own activities — small tasks with a due date and an assignee.

Anatomy of an activity

Activities live in the chatter on the right side of any record.

Scheduling an activity

On any record:

  1. Open the chatter (right panel)
  2. Click Schedule activity
  3. Pick the type, title, due date, assignee
  4. Click Schedule

The activity appears in the chatter. The assignee sees it in their personal Activities list and, if the due date is set, in the top-bar 🕐 Activities drop-down.

Click 🕐 in the top bar. You see:

Click any activity to jump to its record. From there you can:

  • Mark as done — closes the activity, optionally logs a note
  • Mark as done & schedule next — close this one, open a follow-up
  • Discard — close without logging

Activity types

PLANA ships with sensible defaults; you can add more in Settings → Activity types.

Custom types can be added per app. For example, a Sales team might add a "Demo" type with its own icon and notification.

Automated activities

Some screens auto-schedule activities. Examples:

  • A confirmed sale order schedules a follow-up call activity 7 days after the expected delivery date for the salesperson
  • An invoice overdue by 30 days schedules a payment-chase activity
  • A purchase order schedules a "Validate receipt" activity for the warehouse manager when the expected receipt date arrives

You can configure these patterns in Settings → Automated activities.

Activities and the chatter

Activities live in the chatter, but they're more than chat messages — they have a date, an assignee, and a state. The chatter shows:

  • Open activities with a yellow badge + due date
  • Past activities in the log as "Activity X done by Y" entries
  • Notes added in passing without a due date

You'll often see something like:

🕐 Call the customer about INV-2026-04 — due tomorrow, assigned to Boyan
📝 Boyan: Customer says they paid yesterday, transaction is in
   transit. Will check tomorrow morning.

That's a typical workflow — activity + note paired.

Email and the chatter

When you send a message from the chatter, it goes out as an email to the customer / vendor (if they have an email address) and is recorded as an outgoing message. Replies come back into the chatter as incoming messages.

This is how you keep the entire conversation with a customer attached to the customer or to the specific invoice — instead of scattered across Gmail.

Notifications

You receive notifications when:

  • An activity is assigned to you
  • An activity is due today
  • An activity is overdue
  • Someone @-mentions you in a chatter note
  • A record you follow has activity

Configure where notifications go in Preferences → Notifications:

  • In-app only
    • Email
    • (Coming) Mobile push when the native app ships

Tips

  • Use Activities, not your inbox — if you keep your tasks in PLANA, they're visible to teammates and tied to the record
  • Set realistic due dates — overdue activities create alert fatigue
  • Use the "Mark done & schedule next" flow for recurring chases — it forces you to confirm the next step
  • @-mention to pull a teammate's attention without re-assigning
