Products and variants
A product is anything you sell, buy, or hold in stock. Each product carries pricing, accounting, inventory, and reporting configuration.
Product types
| Type | Use |
|---|---|
| Goods | Physical items with stock tracking |
| Service | No stock; sold and delivered without physical inventory |
| Combo | A bundle priced as one (Pro+ tier) |
Type determines what fields are enabled — services don't have warehouse fields, goods don't have a "delivery method" service field.
Anatomy
| Section | Key fields |
|---|---|
| General | Name, type, internal reference (SKU), barcode, category |
| Sales | Sales price, taxes (sale), description on invoice |
| Purchase | Cost, taxes (purchase), description on PO, vendors list |
| Inventory | Tracking (none / lot / serial), routes, weight, volume |
| Accounting | Income account, expense account, asset type (for inventory valuation) |
| Sales Description | Long description for customer-facing PDFs |
Variants
For products that come in multiple sizes / colours / configurations:
Product → Variants tab → Configure variants.
Define attributes:
- Size: S / M / L / XL
- Colour: Red / Blue / Green
PLANA generates the product variants — one row per combination:
| Product | Variant |
|---|---|
| T-shirt | S Red |
| T-shirt | S Blue |
| T-shirt | M Red |
| ... | ... |
Stock and pricing track per variant. The parent product is a template; the variants are the actually-saleable items.
For products without variants (a unique service, a single-SKU widget), ignore the Variants tab — the product is its own only variant.
Categories
Organise products by category:
Inventory → Configuration → Categories:
- Raw materials
- Finished goods
- Consumables
- Services
Categories drive:
- Default income / expense accounts (no need to configure per product)
- Inventory valuation method (FIFO / weighted average / standard cost)
- Reports grouped by category
Most businesses set up 5–15 categories and let products inherit from them.
Cost vs price
Two prices per product:
| Field | Default user |
|---|---|
| Cost | What you pay to buy / produce — used for COGS and margin |
| Sales price | What you charge customers — used for quotations |
PLANA computes margin as (Sales – Cost) / Sales. Margin reports show by product, by category, by salesperson.
For multi-vendor products, Cost is the average cost across recent purchases (FIFO) or a configured standard cost (manual).
Bulgarian-specific fields
For products you ship across EU borders:
- CN code (Combined Nomenclature) — required for Intrastat reporting
- Country of origin — required for some Intrastat exports
- HS code — for non-EU export customs
Configure in the Tax/Intrastat sub-tab. See NPR, VIES, Intrastat.
